Entrepreneurs often face limited resources and heavy workloads. One founder at Beardbrand addressed this by building custom AI agents to handle daily operations. Using tools from SpaceXAI, specifically Grok Bot and the Grok Voice API, the team created a customer service voice agent that functions with surprising accuracy. The system, which handles shopper support calls, was deployed in less than a day and represents a shift toward automated business tools. The agent was built to handle the volume of incoming customer inquiries that a small team could not manage alone, allowing the business to maintain support standards without expanding staff.

Automating Daily Operations

Grok Bot serves multiple purposes beyond answering phones. The system can now filter an executive’s inbox, acting as a digital assistant that screens messages twice daily. It flags urgent items in red and sorts through the rest, allowing the business owner to address only what is necessary. This setup costs less than $100 a month but saves significant time. By reducing the frequency of email checks from constant interruptions to scheduled reviews, the founder can focus on deeper work without missing critical communications.

Another application involves data aggregation. An agent pulls performance metrics from Shopify, Grapevine, and Amazon, compiling the information into spreadsheets for weekly staff meetings. Previously, a person manually gathered this data. Now, the bot extracts key figures from various sources automatically. This automation extends to email and SMS flows within marketing platforms like Klaviyo. What once took an agency months and thousands of dollars to configure can now be set up in a few hours using the AI system. The bot acts as a bridge between disparate data sources, ensuring that the weekly meeting starts with up-to-date figures rather than incomplete notes.

Content management also benefits from these tools. An SEO agent crawls the website to track rankings and impressions. It recently identified a conflict in product instructions for a new cologne launch, where one section suggested applying the product to two to four pulse points while another stated two to six. The bot flagged this discrepancy, helping maintain a single source of truth for the company’s published information.

While the technology handles routine tasks, human oversight remains necessary for strategic decisions. The founder emphasizes that Grok Bot is not meant to alter core business components or make high-level choices. Instead, it acts as a personal assistant for logistical needs, such as online shopping or booking appointments.

Give Grok Bot to a 10-person team and all of a sudden it’s the equivalent of 100 because each person can 10x productivity. Think about all of their routine tasks and how Grok Bot can expedite or entirely take over.

They configured an account on another email platform and created 48 flows, all in a few hours using Grok Bot.
